Terms of Service

Acceptance of terms

By creating an account or using OutreachOS (“the Service”), you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the Service.

Description of service

OutreachOS is a personal job-outreach pipeline tool that allows users to compose and send AI-personalised job application emails via their own Gmail account, track email engagement, manage job leads, and organise their outreach pipeline. Each email is individually personalised with the recipient's name and company. To encourage natural, responsible outreach, users may send up to 25 emails per session with a configurable delay between each send.

Eligibility

You must be at least 13 years of age to use OutreachOS. By using the Service, you represent that you meet this requirement. Registration is open to all eligible users.

Gmail and Google account access

OutreachOS requests permission to send emails from your Gmail account via the Google Gmail API. By connecting your Gmail account, you authorise OutreachOS to:

• Send outreach emails that you explicitly compose or approve within the Service
• Access your Gmail address to display it within the app and stamp sent emails

The connection uses exactly two OAuth scopes: gmail.send — to send emails on your behalf via the Gmail REST API — and email — to read and display the connected Gmail address. No other Gmail scopes are requested.

What OutreachOS will never do with your Gmail access:

• Read, scan, search, index, or store the contents of your inbox or any existing emails
• Access Gmail labels, threads, message metadata, or drafts
• Modify, delete, archive, or move any emails in your mailbox
• Use Gmail data for advertising, user profiling, or AI/ML model training
• Share Gmail tokens or send permissions with any third party outside of the Gmail API itself

Token security:

• OAuth refresh tokens are stored encrypted at rest (AES-256-GCM). No employee or contractor can read them.
• Access tokens are short-lived and never persisted to the database beyond the individual API call.
• Disconnecting Gmail from Settings, or revoking access via Google Account, deletes your stored tokens immediately with no retention period.

You authorise OutreachOS to do only the above. You can revoke this permission at any time from your Google Account permissions page or from the Settings page inside OutreachOS. Revoking access from Google's permissions page will automatically disconnect your Gmail from OutreachOS — no further action inside the app is required, and OutreachOS will immediately stop sending emails on your behalf.

Our use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.

Acceptable use

You agree not to use OutreachOS to:

• Send spam, unsolicited bulk email, or emails that violate anti-spam laws (including CAN-SPAM and GDPR)
• Target recipients who have requested not to receive emails from you
• Send emails using misleading or deceptive subject lines or sender information
• Impersonate any person or organisation
• Send harassing, threatening, or abusive content
• Violate any applicable local, national, or international law or regulation
• Attempt to circumvent any technical measures of the Service
• Use the Service for any commercial purpose other than your own personal job search

OutreachOS enforces a limit of 25 individually personalised emails per session, with a configurable delay between each send. This is designed to encourage natural, human-paced outreach and ensure compliance with anti-spam regulations and best practices.

User content and data

You retain ownership of all content you create within OutreachOS, including email templates, contact records, and lead data. By using the Service, you grant OutreachOS a limited licence to store and process this content solely to provide the Service to you. We do not claim ownership of your data.

Intellectual property

The OutreachOS application, design, code, and branding are the property of OutreachOS and are protected by applicable intellectual property laws. You may not copy, modify, distribute, or create derivative works without prior written permission.

Disclaimers

OutreachOS is provided “as is” and “as available” without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

We do not guarantee that the Service will be uninterrupted, error-free, or that emails sent through the Service will be delivered or will result in any particular outcome in your job search.

Limitation of liability

To the maximum extent permitted by law, OutreachOS shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to loss of data, loss of opportunity, or reputational damage arising from emails sent via the Service.

Termination

We reserve the right to suspend or terminate your access to OutreachOS at any time, for any reason, including breach of these Terms. Upon termination, your right to use the Service ceases immediately. You may request deletion of your data by contacting us at the address below.

Changes to these terms

We may update these Terms from time to time. We will notify users of material changes by updating the “Last updated” date above and, where appropriate, via an in-app notice. Your continued use of OutreachOS after changes constitutes acceptance of the updated Terms.

Governing law

These Terms are governed by and construed in accordance with the laws of India. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in India.
